This policy explains what personal information Boxwood Rose, LLC ("Boxwood Rose," "we," "us" or "our") collects, how we use it, who we share it with, and the choices you have. It covers our website, www.boxwoodrose.com, and the forms on it; our online store; and the information we receive when you email, call, text or message us, or book with us.

We do share information with advertising and analytics companies, and some of them also use it for their own advertising purposes. Google, Meta and Pinterest may use cookies and similar technologies to show you ads, including ours, based on your visits to our site.
  • Texts: Our texts are only about your inquiry, quote, order or event. We don't send marketing texts.
  • Your choices: Wherever you live, you can email hello@boxwoodrose.com to ask to see, correct or delete your information, or to stop marketing email. For ad and cookie settings, see "Your advertising choices" in the "Advertising and analytics" section below.

Who we are

Boxwood Rose, LLC rents floral and greenery backdrops and other event decor, creates balloon installations, offers custom neon and wooden signs, and sells DIY balloon kits, pre-designed neon signs and other decor in our online store. Boxwood Rose, LLC decides how the personal information we collect is used and is responsible for it. Privacy laws call this being the "controller." Some companies named below also collect information on our site under their own privacy policies, as explained under "Advertising and analytics."

Information we collect

Information you give us. You give us information through our website forms, email, calls, texts, social media messages and your booking. Depending on how you work with us, this can include:

  • Contact details: your name, email address and phone number, and your company or business name if you give it.
  • Event details: your event date and location (including the venue), whether it's outdoors, the kind of event you're planning, your role (for example host, graduate, parent or planner), the items, colors and delivery option you're interested in, how you heard about us, and anything you write in your message.
  • Custom sign details: the text for your sign, the sign type, size and color, any logo or design files you send, and the shipping address.
  • Booking details: your full name and mailing address, your signed agreement, the items, fees and deposit, how you plan to pay, setup and teardown or pickup and drop-off times, and day-of details such as where to unload, gate or dock access, a day-of contact person, your photographer, and, for a gated community, the name and address of the resident we can give the gate staff.
  • Payment records: what you paid, when and how. If you pay by check, the check shows your bank account details. If your organization buys tax-free, we receive its tax-exemption certificate.
  • Messages and photos: your emails, texts, voicemails and voicemail transcripts, and social media messages, plus any inspiration photos or event photos you send us.
  • Email sign-ups: your email address, if you sign up for email updates.

Most of our inquiry forms save what you type as a draft, even if you don't submit it (see FormFacade under "Advertising and analytics").

If you give us someone else's details, such as a day-of contact, your photographer or the resident who lets us through a community gate, please let them know. Job applications, Write For Us requests and affiliate sign-ups are covered in the "Job applicants," "Guest posts and links on our blog" and "Affiliate program" sections below.

Information collected automatically. When you visit our site or our online store, we and the companies named under "Advertising and analytics" automatically collect:

  • your IP address, the general location it suggests (such as your city), your browser and device type, and settings such as your screen size, language and time zone;
  • the pages you view, the website or ad that sent you to us, and when you visit;
  • how you use our pages, such as clicks, scrolling and interactions with forms; and
  • identifiers stored in cookies and browser storage, including a Google Ads click ID if you arrive from one of our ads.

Information from other sources. If you contact us or buy from us through a marketplace, listing site or social media platform, we receive the information you share with us there. That platform's own privacy policy also applies. Other people may also give us your details, such as a coworker who books an event for your company, an event planner or venue, or someone who refers you to us. We also collect business contact details that businesses and organizations make public, such as on their websites, in news and event listings, and in home show and exhibitor directories, and we use them to tell those businesses about our services. These details can include the name and work email address of the person listed as the contact.

How we use information

We use personal information to:

  • answer your inquiry, check availability and prepare a quote;
  • prepare your agreement and invoice, collect payment, and keep business and tax records;
  • deliver, set up and pick up rentals and installations, and fill custom sign and online orders;
  • keep you updated about your order or event, including reminders before your event, shipping updates and your damage deposit refund;
  • ask for a review or for event photos after your event;
  • understand how people find us and use our site, so we can improve it;
  • measure and improve our advertising, as described below;
  • send marketing email, as described under "Email";
  • tell businesses that may want our services about what we offer;
  • review job applications and Write For Us requests, and run our affiliate program;
  • protect our forms from spam and misuse; and
  • handle disputes and meet our legal obligations.

How we share information

We share personal information with the service providers and partners described below, for the purposes in this policy.

Service providers. We use other companies to help run our business, and they receive personal information so they can do that work for us. They include providers of:

  • website hosting and online forms;
  • email, file storage, calendars and internal messaging;
  • phone calls, texting and voicemail;
  • invoicing, payment processing, payment apps and banking;
  • e-signature;
  • our online store;
  • affiliate program software;
  • shipping;
  • design tools;
  • social media scheduling and analytics;
  • email sending and email open and click tracking;
  • insurance, when a venue needs a certificate of insurance for your event; and
  • AI-assisted tools (see "AI tools" below).

The makers of our signs. Our custom signs and the neon signs in our online store are made by outside sign makers, and our neon signs are made by a manufacturing partner outside the United States. The sign maker receives what it needs to make and ship your order, such as your sign's text and design and your shipping details. It ships the sign to you through a shipping carrier.

Venues and event partners. To deliver and set up, we may share your name, event details and day-of contact with your venue, your planner, or the people who manage access to the property, such as a gate house or loading dock. At a gated community, that can include the name and address of the resident you gave us for the gate staff.

Advertising and analytics partners. We share information with the advertising and analytics companies described in the next section.

Other disclosures. We may disclose information if the law requires it, or to protect our rights, our customers or others. If our business is sold or reorganized, information may transfer to the new owner.

We do not sell your personal information for money, and we do not sell sensitive information. We do share information with the advertising and analytics companies described in the next section. They use it to help us understand our site and to measure and show our ads, and some also use it for their own advertising purposes.

Advertising and analytics

We advertise online and use analytics tools to understand how our site is used. The companies below run code on our site or our Shopify shop. Each has its own privacy policy, and some use the information they collect for their own purposes as well as ours.

  • Google (Google Analytics, Google Ads, Google Tag Manager, Google Maps and YouTube): Google Analytics records the pages you view and how you use them, such as how far you scroll, the links you click to leave our site, file downloads and searches on our site. Google Ads records when you start filling in a form and when a visit leads to an inquiry, and builds lists of site visitors for advertising. Lists of site visitors built in Google Analytics may also be used for our Google ads, through a link between our Google Analytics and Google Ads accounts. When they are, Google uses its analytics cookie together with its advertising cookies to do this.   • Meta (Facebook and Instagram): the Meta Pixel records the pages you visit, details about those pages such as their titles, the website that sent you to us, and the buttons you click. Its automatic advanced matching feature can also collect contact details you enter in our forms, in hashed (encoded) form. Read Meta's Privacy Policy.
  • Pinterest: the Pinterest Tag records your visits to our site and our Shopify shop. Read Pinterest's Privacy Policy.
  • Microsoft Clarity: records how visitors use our pages, such as clicks, scrolling and interactions with page content, as session recordings and heatmaps that help us improve the site. Microsoft collects and receives this information to provide Clarity and Microsoft Advertising, and uses it for its own purposes, including advertising, as its privacy statement explains.   • Metricool: records the full web address of the page you visit, the page that sent you there and the size of your browser window, so we can measure site traffic. Read Metricool's Privacy Policy.
  • Squarespace: hosts our website, runs some of our forms, and collects visit information such as your IP address, browser and device details and the pages you view. Squarespace uses some of this information for its own purposes, as its policy explains. Read Squarespace's Privacy Policy.
  • FormFacade: displays most of our inquiry forms and receives what you enter in them; responses are stored in Google Forms. Once you start filling in one of these forms, FormFacade saves a draft of your answers on its servers, even if you never submit the form. The draft includes the page address and your browser type, screen size, language and time zone. A cookie lets the form bring back your draft for up to three hours. FormFacade also collects statistics on how the forms are used. Read FormFacade's Privacy Policy.
  • Shopify: runs our online store and sets its own cookies on store pages (see "Payments and our online store"). Our Shopify shop also runs Google Analytics, the Pinterest Tag and an affiliate-tracking tool that records visits and purchases that come through affiliate links. Shopify shares shop activity with them, such as the products you view, what you add to your cart and the steps you take at checkout.

Our pages also load fonts from Adobe Fonts, and some load fonts from Google Fonts or show YouTube videos through Embedly. Those companies receive your IP address and browser information when they deliver that content. Read Adobe's Privacy Policy and Embedly's Privacy Policy.

What we share to measure our ads.

  • Contact details from our forms. When you submit a form, the Google and Meta code on our site may send the contact details you entered, such as your name, email address and phone number, to Google and Meta in hashed (encoded) form. Google calls this feature enhanced conversions, and Meta calls it automatic advanced matching. They use these details to connect your inquiry to an ad you may have seen or clicked.
  • Booking results. When an inquiry that came from a Google ad becomes a booking, we send Google the Google Ads click ID along with the time and value of the booking.
  • Customer contact information. We may share customer contact information with advertising partners such as Google to measure our ads and to reach or exclude existing customers.

For some of these features, Google acts on our behalf. For others, Google also uses the information under its own privacy policy.

Targeted advertising. Google, Meta and Pinterest may use cookies and similar technologies to recognize your browser. That lets them show you ads, including ours, in search results and on other sites and apps based on your visits to our site or our Shopify shop. Third-party vendors, including Google, may show our ads on sites across the internet. This is often called targeted, interest-based or online behavioral advertising.

Tracking across sites. Other companies, including Google, Meta, Pinterest and Microsoft, may use cookies, pixels, web beacons and similar technologies to collect or receive information from our site, our Shopify shop and other websites, including information about your online activities over time and across different websites. They may use that information to measure ads and to choose and show ads, including ours.

Do Not Track and Global Privacy Control. Our site does not respond to "Do Not Track" signals. Two of the tools on our site respond to the Global Privacy Control (GPC) signal on their own. If your browser sends GPC, Microsoft Clarity does not record your visit. If you are in one of the states where Google applies GPC, including Minnesota, Google's tag also marks your visit so it isn't used to personalize ads. We have not set up anything else on our site to respond to these signals.

Your advertising choices.

Cookies, local storage and similar technologies

Our site and the companies above use cookies and browser storage. Cookies are small files stored in your browser. Your browser's local storage and session storage work in a similar way. These are set by us, Squarespace, Google, Meta, Pinterest, Microsoft Clarity, FormFacade and, on our online store pages, Shopify and the tools it runs there. They keep the site working and secure, count visits, show how the site is used, and measure our ads. Some last only for your visit. Others stay in your browser for months or longer, or until you clear them.

Two of these are our own:

  • Google Ads click ID. When you arrive from one of our Google ads, our site saves the ad's click ID in your browser's local storage. For up to 90 days, our site adds the click ID to a hidden field in our inquiry forms (all except the corporate event form), so it's included with your inquiry and with the draft FormFacade saves while you fill in the form. This lets us connect the inquiry to the ad. The click ID stays in your browser until you clear your site data, and a newer ad click replaces it. Google also stores its own copy of the click ID, in a cookie and in local storage, for 90 days.
  • Form contact details. When you click the submit button on one of our forms, our site copies whichever of your name, email address and phone number you entered into your browser's session storage. It does this so it can pass them to Google's measurement code when the confirmation page loads, and it removes them when that page loads. Our job application, Write For Us and email sign-up forms don't lead to a confirmation page, so for those forms the details stay in session storage until you close the tab.

Most browsers let you block cookies and clear cookies and site data, including local storage, in their settings. Clearing site data removes the click ID and the other items our site has stored.

Your choices and requests

Wherever you live, you can ask to see, correct or delete the personal information we have about you. You can also ask us to stop sending you marketing email. Email hello@boxwoodrose.com with your request. For ad and cookie settings, see "Your advertising choices" in the "Advertising and analytics" section above.

We may need to confirm your identity before we act on a request. We may also keep information we're required to keep for legal, tax or contract reasons. If we can't fulfill your request, we'll let you know, and you can reply and ask us to reconsider.

Nevada residents can also email hello@boxwoodrose.com to opt out of the sale of their personal information. As noted above, we do not sell personal information for money.

Text messages and calls

When you call or text us, we receive your phone number and what you send us. Our phone and texting provider handles calls and texts, transcribes voicemails, and forwards texts and voicemails to our email, where we keep them with your other inquiry records. Around your event, a member of our team may also call or text you directly to coordinate delivery, setup or pickup.

Our texts are only about your inquiry, quote, order or event. We don't send marketing texts. If you don't want texts from us, reply and tell us to stop, and we'll stop texting you. We may still call or email you about an order or event you've booked. Message and data rates may apply.

We don't sell or rent your mobile number for money. We don't share it, or your consent to receive texts, with other companies for their own marketing. If you enter your phone number in one of our website forms, it may be sent in hashed (encoded) form to Google and Meta to measure our ads, as described under "What we share to measure our ads."

Email

We use your email address to reply to you and to send messages about your inquiry, order or event. If you sign up for email updates, we use your email address to send you promotions, news about new products, and sales. We may also send you occasional marketing emails. Every marketing email will include a way to unsubscribe, and we honor unsubscribe requests. You can also email hello@boxwoodrose.com to stop marketing email.

Some emails we send can tell us whether and when they were opened and whether links in them were clicked.

AI tools

We use software tools, including AI-assisted tools, to help us organize our inquiries and bookings, keep our team updated, find businesses that may want our services, and draft email and messages. That includes replies to texts and voicemail transcripts that reach our inbox. These providers process information on our behalf. A member of our team reviews every AI-drafted message before it is sent. We do not use your personal information to train artificial intelligence models, and we do not sell it for that purpose. Where an AI provider offers a setting that would let it train its models on the information we give it, we keep that setting turned off.

Payments and our online store

When you pay an invoice online, you enter your card or bank details on our invoicing provider's payment page, and its payment processors handle the payment. If you pay with a payment app or by check, the payment app or our bank handles it. We return damage deposits by payment app or by a check our bank mails to you.

Our online store is hosted and run by Shopify. That includes our Shopify shop and the product and cart on our DIY balloon kit page. Shopify processes checkout and payment, including your name, email address, shipping address and payment details, and also uses this information for its own purposes, including services it provides to stores like ours. Information you submit in our store is shared with Shopify and with companies that help it provide its services, some of which may be in other countries. We receive your order details so we can fill your order. Read Shopify's Consumer Privacy Policy, and use Shopify's privacy controls to opt out of or object to some of Shopify's uses of your information.

Photos of our work

We post photos of our setups and custom signs, along with event photos our customers share with us, on our website and social media to show our work. Our rental agreements include a photography clause that lets us use photos taken with our rental items for marketing, unless your agreement notes otherwise. Our balloon agreements ask you to tag us on Instagram, if you can, in photos that include our balloon work. If you'd rather we not post photos of your event or your sign, tell us when you book or at any time, and we won't. If you'd like a photo of you or your event removed from our website or social media accounts, email us at hello@boxwoodrose.com and we'll take it down. We can't remove copies that other people have already shared or saved.

Sensitive information

We don't ask for sensitive information, such as details about your health, religion or sexual orientation. Some details you choose to share, such as the kind of celebration you're planning or the words on a custom sign, can still be personal. We use them to answer you and to provide what you order. We do not sell them, and we do not use them to decide which ads you see.

Children and teens

Our site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has given us personal information, please email us at hello@boxwoodrose.com and we will delete it.

Anyone under 18 should have a parent or guardian contact us or complete the booking. Our advertising and analytics tools run on every page of our site, and we can't tell how old a visitor is, so if you're under 18, please ask a parent or guardian to send your inquiry for you. Parents and guardians can email us at hello@boxwoodrose.com to review or delete their child's information.

Job applicants

If you apply through our Join Our Team page, we collect your name, email address and phone number, what you tell us about yourself and why you'd like to work with us, and your availability. We also collect your answers about the job's requirements, such as whether you are over 18, have reliable transportation and car insurance, can commute to our location, and can lift 40 pounds, and anything else you choose to tell us. We use this information to review your application and contact you about it. The analytics and advertising tools described above also run on the application page.

Guest posts and links on our blog

If you contact us through our Write For Us page about a guest post or link placement, we collect your name, business name, email address, the type of placement you choose, the links and content you send, your message, and your confirmation of our guest-post terms. We use them to review your request, send your invoice and publish the post, which may credit you or your business. This form uses Google reCAPTCHA, a security service, to check that a person, not a bot, is filling it in. Google uses the information reCAPTCHA collects only to run and secure that service, not for advertising.

Affiliate program

If you join our affiliate program, your sign-up and affiliate account are handled by our affiliate software provider. We receive the details you give it, such as your name, email address, company name and mailing address, and use them to run the program and pay any commissions you earn. The provider's own privacy notice also applies.

How long we keep information

We keep personal information for as long as we need it for the purposes in this policy: to respond to you, provide what you booked or bought, keep accurate business, tax and contract records, resolve disputes, and meet our legal obligations. Our site uses the Google Ads click ID saved in your browser for up to 90 days, and it stays there until you clear it, as described above. A click ID included with an inquiry is kept with that inquiry. Companies that collect information on our site under their own privacy policies keep it according to those policies.

How we protect information

We take reasonable measures to protect personal information. No method of sending or storing information is completely secure, so we can't guarantee the security of information you send us.

Where information is processed

Boxwood Rose is based in the United States. Our service providers may process information in the United States and other countries. As noted above, our neon signs are made by a manufacturing partner outside the United States.

Links to other sites

Our site links to other websites, including our social media pages and products mentioned on our blog. Our blog may also include guest posts and sponsored links. Other sites have their own privacy practices, so please review their policies.

Changes to this policy

If we change this policy, we'll post the new version on this page and update the "Last updated" date at the top. If we make significant changes, we'll also note them on this page. If we ever want to use information we already have in a significantly different way, we'll ask for your permission first where the law requires it.
